Privacy Statement

Pacific Public Health Foundation Privacy Statement

Pacific Public Health Foundation (“the Foundation”) values the importance of privacy and is committed to protecting personal information. This Privacy Statement explains how we collect, use, disclose, and protect personal information about donors, funders, partners, researchers, subscribers, and other individuals (“you”).

The Foundation complies with the Personal Information Protection Act (PIPA) and Canadian Anti-Spam Legislation (CASL).

The Foundation recognizes the value of its relationships with you and is committed to respecting and protecting your personal information. The Foundation adheres to the following principles (adapted from the Office of the Privacy Commissioner of Canada):

  1. Accountability: We are responsible for the personal information we collect, use and disclose. Our designated privacy officer oversees our privacy practices and ensures compliance with applicable privacy laws. In cases where third parties are utilized for information collecting or processing, we ensure that comparable security safeguards are in place. All employees, volunteers, and contractors sign confidentiality agreements and oversights are in place with respect to the information they are able to access.
  2. Identifying Purposes: We identify the reasons for collecting personal information before or at the time of collection. The purposes will be limited to those which are related to our business and which a reasonable person would consider to be appropriate in the circumstances. The Foundation may collect, use and disclose personal information:

    a. To inform donors and funders on the impact of their gift and how funds are being utilized;
    b. To thank and publicly recognize donors, funders, and partners;
    c. To further engage donors, funders, and partners on opportunities to support the Foundation and to enhance public health investment for BC;
    d. To build and/or maintain relationships with donors, funders, partners and researchers, including communicating about our work and activities, via our newsletter, annual reports, blogs, campaigns and events;
    e. To meet our reporting and oversight requirements and business needs;
    f. To administer donations, and maintain administrative and financial records;
    g. To ensure adherence to regulatory and administrative requirements, guidelines and procedures, including Canada Revenue Agency (CRA) requirements for gift processing and receipting;
    h. As necessary, for the purpose of assessing and evaluating grant applications and administering grants;
    i. To aggregate to use for analysis and reporting purposes; and
    j. As otherwise permitted or required by law.

    The Foundation will communicate the intended purposes for collecting an individual’s personal information.
  3. Consent: We make all reasonable efforts to inform of the purposes for the collection, use or disclosure of personal data before or at the time of collection. Under the framework established by the Personal Information Protection Act (PIPA), consent may take the form of either express or implied agreement. Individuals can give consent:

    a. in writing, such as when completing a donation form
    b. orally, in person or over the telephone
    c. through an opt-in process, e.g. by checking off a box on a form

    Limiting Collection: We do not collect personal information indiscriminately, nor will we deceive or mislead individuals about the reasons for collecting personal information. At the time we collect personal information, we will specify the types of information collected, limited to that which is necessary and reasonable to fulfill the purposes identified. The personal information we collect may include your name and contact information, and information necessary to process your donation, or facilitate your participation in an event, or your subscription to our newsletter, or to assess and evaluate your grant application, or other purposes with your consent as or permitted or required by law.
  4. Limiting Use, Disclosure, and Retention: We use or disclose personal information only for the purpose for which it was collected, except with the consent of the individual or as permitted or required by law. We will keep personal information for as long as the initial purpose for collecting it remains relevant and applicable. The Foundation does not sell, rent, or trade mailing lists. From time to time we may disclose personal information to service providers we’ve contracted with to carry out one or more of the purposes listed above. In such cases, we ensure the contracts specify a commensurate level of privacy protection.
  5. Accuracy: We ensure personal information to be as accurate, complete, and up-to-date as is necessary for the purposes for which it is to be used. We rely on you to update us when your information has changed (such as when you change your address). We will take reasonable measures to ensure personal information is updated when necessary.
  6. Safeguards: We take all reasonable steps necessary to: protect personal information against loss or theft; safeguard the information from unauthorized access,
    disclosure, copying, use or modification; and protect personal information regardless of the format in which it is held. We use procedural and technical safeguards
    including confidentiality agreements, locked physical files, and technological means to protect the security of personal information.
  7. Individual access: We provide reasonable access to an individuals’ information; explain how it is or has been used; and correct or amend any personal information if
    its accuracy and completeness is challenged.
  8. Online Security and Privacy: We establish secure online systems and practices with respect to use of personal information and online preferences. Credit card
    transactions are processed through our service providers with reasonable security measures put into place. The Foundation further works to protect online information through:

    a. Cookies: The Foundation’s website currently does not uses cookies.
    b. Google Analytics: Our Foundation’s website utilizes Google Analytics to monitor performance and gain insights into interactions with our website. This information is de-identified and aggregated. We adhere to the Google Analytics Terms of Service, available at the following link: Google Analytics Terms of Service
    c. Social Media: We access the information provided by third-party cookies, such as Facebook tracking pixels, to measure our performance and target appropriate content to users on third-party party platforms, to increase engagement, and for knowledge translation and fundraising purposes
    d. Email Marketing: We collect aggregate data from email newsletters such as open and click-through rates to help us improve our content.

Pacific Public Health Foundation is committed to protecting your personal information in accordance with our Privacy Statement, our Code of Ethics, and applicable privacy laws. We may update this Privacy Statement from time to time to reflect changes in our practices or legal requirements.
